When you register with us via our website or sign up to our services via email or when you are in contact with one of our employees, the personal data that you give to us will be dealt with in accordance with GDPR.

Tonic Careers head office is located in Manchester (UK) and therefore, we follow the GDPR rules taken from the UK Information Commissioners Office (www.ico.org.uk).

The data controller is Tonic Careers Limited, registered in England (Company no. 10636900)

We are a recruitment agency and recruitment business as defined in the Employment Agencies and Employment Businesses Regulations 2003.

Tonic Careers employees will have access to your personal data through our secure internal database (Voyager Infinity).

  1. Who are Tonic and what do we do?

Tonic Careers is a recruitment agency and recruitment business as defined in the Employment Agencies and Employment Businesses Regulations 2003. We have offices based in London and Manchester. To commence our business we need to collect data from the following:

  • Candidates for permanent and contract roles (Prospective and placed candidates)
  • Clients (Prospective and live)
  • Employees

 

  1. What personal data does Tonic Careers collect?

Tonic collects and processes personal information to enable us to provide advice and professional services as an employment agency. To complete this we may need to collect the following:

  • Personal contact details
  • Links to your professional profiles
  • Education and employment details

When registering as a candidate we may ask you for your:

  • Full name and contact details
  • Location/home address
  • Your most recent CV
  • Links to your professional profile
  • Relevant education, industry qualifications and employer references
  • Your availability to work
  • Your proof of the right to work in the UK

 

  1. How long will we keep your data? 

We understand our legal duty to retain accurate data and only retain personal data for as long as we need it for our legitimate business interest. We have a data retention policy which requires us to run data routines to remove data that we no longer have legitimate business interest in maintaining. Tonic will keep your personal data for 5 years from the date of the last contact as this is determined on the basis that 5 years is considered to be the average length individuals are employed. For the purpose of creating an opt-out suppression file, we may minimise the amount of data we hold down to name and email address to ensure that we do not re-enter your details into our system.

 

  1. Cookies

We use cookies to track the user of our website. This enables us to understand our users, move around the site and track any patterns from larger groups. This enables us to develop and improve our website and services in response to our users wants and needs. These cookies are ‘Session cookies’ which means they are only stored on your device during your web session and are automatically deleted when you close your browser – they usually store an anonymous session ID allowing you to browse a website without having to log into each page but they do not collect any information from your device.

If your personal information or circumstances change you can correct, update or request to remove your personal data by emailing: hello@toniccareers.co.uk with the subject ‘Privacy’.

If you have a request, query, concern or complaint about how Tonic Careers collects, stores and uses your personal data then please email hello@toniccareers.co.uk and we will respond to you within the timeframe specified by the GDPR.

If your request is not dealt with by Tonic Careers in the timeframe specified in the GDPR, then you have the right to complain to the ICO (ico.org.uk/for-the-public/raising-concerns).

With the new GDPR laws coming in May, Tonic are taking this very seriously and want to help you understand what we do with your data. You have the right to access your personal data and supplementary information. The right of access allows you to be aware of and verify the lawfulness of the processing.
